Experience Required:
Office administrator Oversees office duties: • Ensures all supplies are ordered, stocked and where they need to be for printer areas, office supplies, bathrooms, and kitchen • Schedules/Follows-up with cleaning crew to ensure office is always orderly and clean • Keeps printers up and running with supplies and troubleshooting • Proactively plans and works with brokerage leadership to plan team meetings: topics, speakers, etc. • Maintains team meeting schedules, calendar invites, agendas, action items and holds team members accountable for delivering on commitments • Ensures technology is up and running prior to the start of meetings (zoom, WebEx, TV/PowerPoint, etc.) • Sees and addresses potential office problems before they arise • Answers phone professionally, takes detailed messages and forwards to appropriate person • Serves as a contact person/administrator for all office related business • Greets visitors and manages incoming mail Works closely with brokerage leadership: • Works with brokerage leadership on calendars, scheduling, and overall office efficiency • Helps leadership by accepting delegated tasks when possible, allowing them to focus on schedule blocking and drive the brokerage • Gives timely updates but doesn’t get stuck in the details, thorough but concise • Frees brokerage leadership time, takes initiative before being asked, handles tasks such as managing providers, office errands, etc. • Coordinates and participates as needed in event planning Online files: • Works closely with appropriate team members to ensure online files are clean and orderly, and properly saved online for easy access • Develops map/educational tool of where to find files and works with team to keep Standards and Operating Procedures document updated accordingly • Manages documents for transactions and ensures everyone understands naming and location of files and everything is in order and filed correctly for future reference and or audits Communications with clients, BRG agents, lenders, closing attorneys and co-op agents: • Manages communications with all parties to ensure timelines and details are understood and met • Uses existing checklists and BRG tools to ensure nothing fall through the cracks • Phone etiquette • Proactive, professional, and efficient communications- you are the face of BRG, and want to get to results in a timely and business-like fashion Skills: 1. Proactive- owns the solution and problem solves independently for basic tasks and knows when to involve leadership for additional help 2. Communicates effectively- can read the audience and determines the best way to interact to get results (email, text, phone call, in person). Brings up important points but doesn’t belabor unnecessarily. 3. Acts quickly- anticipates needs and acts quickly to ensure proper actions are taken 4. Client focused- always do the right thing for the client and keep them first even if it takes longer to complete a task 5. Always exercise BRG core value and guiding principles 6. Motivates- helps the office run efficiently and keeps everything running smoothly so all team members can focus on their responsibilities 7. Technical skills- proficient in Google drive/slides Microsoft outlook, Powerpoint, Excel, Word, experience in Canva and other tools a plus, picks up new tools quickly 8. Process oriented- follows processes, builds processes if none exist to ensure consistency and efficiency 9. Self-motivated- ability to stay on task with minimal supervision, delivers excellent service while completing all required tasks 10. Detail oriented and organized 11. Ability to guide and direct others comfortably and professionally Qualifications: • 2+ years of previous office/administrative experience • Exceptional attention to detail • Strong organizational and time management skills, and ability to prioritize • Proficient with Google tools and Microsoft Office, proven ability to learn technical tools quickly • Self-starter and driven to achieve with little oversight
